This privacy policy describes how Deep Core Technology Limited (“Deep Core”, “we”, “us”) handles personal information when you visit www.deepcoretech.com, use the Deep Core platform at app.deepcoretech.com, or otherwise interact with us.

Personal information we collect

Information you provide. Contact details such as your name, work email address, organization and job title; account information, including profile details and login credentials (passwords are stored in hashed form by our authentication provider); communications you send us, such as support requests and demo inquiries; and payment information, which is processed by our payment provider and not stored by us.

Information collected automatically. When you use our website or platform, we and our service providers collect device data (IP address, browser type, operating system, device identifiers) and online activity data (pages and screens viewed, features used, time spent, information entered, and other interactions with the product, which we may record to understand and improve how the product is used). We use cookies and local storage technologies for authentication, preferences, and analytics. We do not use advertising trackers.

Information from sign-in providers. If you sign in with Google or Microsoft, we receive basic profile information such as your name and email address from that provider.

How we use personal information

We use personal information to provide, secure and improve our services; create and administer accounts; respond to inquiries and provide support; bill our customers; communicate with you about the services; and comply with legal obligations.

We do not sell personal information and we do not use it for third-party advertising.

How we share personal information

We share personal information with service providers that work on our behalf under contract, including cloud hosting and infrastructure providers, analytics providers, authentication and sign-in providers, payment processors, and professional advisors. These providers may use the information only to provide their services to us.

We may also disclose personal information where required by law, to protect our rights, or in connection with a corporate transaction such as a financing, merger or sale, in which case this policy will continue to apply to the information.

Data retention

We keep personal information for as long as needed for the purposes described above, and no longer than your account is active plus a reasonable period, except where the law requires longer retention. Recordings of product interactions are automatically deleted after 30 days.

Security

We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encryption in transit and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

International transfers

We are a Canadian company. Some of our service providers store or process information in the United States, where it is subject to the laws of that jurisdiction. We use contractual protections with all providers wherever they are located.

Your choices and rights

You may request access to the personal information we hold about you, ask us to correct it, or withdraw consent to its collection and use, subject to legal and contractual limits. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia. Users in the EEA or UK may also have rights to erasure, restriction, portability and objection, and may complain to their local supervisory authority.

Children

Our services are for business use and are not directed at anyone under 18. We do not knowingly collect personal information from minors.

Changes to this policy

We may update this policy from time to time. The current version will always be posted at this page with its effective date. If we make material changes, we will notify platform users before they take effect.
